Appointment-based healthcare and wellness practices
A practice can hold thousands of records and still have no reliable way to decide who is appropriate to contact, what message is permitted, and where a sensitive reply should go. That decision work is what stays manual, and it is the reason a dormant list stays dormant.
Bring one cohort. We map the leak before anything is proposed, and you keep the map.

Review before contactIllustrative segmentation. On the audit we build this from your own system, and the right hand column is the one that decides everything.
Book the audit
Thirty minutes. We take one segment of your patient list, follow what currently happens to it, and mark the point where the decision work falls back on a person. You keep the map either way.
Loading the booking calendar. If it does not appear, refresh the page or email us and we will send times by reply.
Privacy: please do not enter patient names, health information, or any part of a medical record in the booking form or its notes field. If you want to walk through a cohort, we do that live on the call with identifiers removed. See our privacy policy.
What the audit produces
Messages sent is not an outcome. It is an activity count, and it tells a practice owner nothing they can act on. These are the outcomes worth writing back.
If a workflow cannot tell you which of these five happened, it is not a workflow yet. It is a send button.
How the work is staged
Each stage has to earn the next one. Nothing is scoped before the stage in front of it has produced something you can read.
We map the operating trail on one cohort: the trigger, the approved action, the point a human takes over, how exceptions are handled, and what gets written back to the record. You keep that map whether or not anything follows it.
Scoped as a measured pilot around one approved cohort. Permission-based outreach, a written escalation path to your staff, and the five outcomes above recorded in your CRM. Scoped only after the audit, and only if the audit found something worth piloting.
Only once a pilot has produced outcomes worth reading regularly. A console with nothing real behind it is a dashboard of activity counts, which is the problem we started with.
Said plainly, before you book
Every item here is something a practice owner has been sold before, and it is why the first conversation is an audit rather than a proposal.
Autonomous clinical messaging. Nothing decides anything about a patient's care, and nothing answers a clinical question. That line does not move, and it is written into the pilot before it runs.
A blast to the whole database. Cohorts are approved before contact and consent is checked first. A practice that messages everyone once usually cannot message anyone twice.
A recovery promise. No figure is quoted for how many patients come back, because that number is not knowable before the audit and anyone quoting it in advance is guessing at your list.
A connection we have not verified. You name the system you run. We say which parts we connect to today and which stay manual until we do, before there is anything to sign.
